Terminology: Keepeek calls assets "items"/"media" (éléments), metadata forms "records"/"sheets" (fiches), collections "baskets" (paniers), and the folder tree the "classification plan" (plan de classement). The back office is the main contributor UI; "user portals" are end-user front-ends; Peek is a new contribution interface introduced in 2026 S66 S111.

Ingestion & storage

  • Marketed scope: single library for photos, videos, documents, product visuals and logos, custom folders, AI-generated tags, duplicate detection S84.
  • Upload by drag-and-drop or Add → Import items (from PC or, on request, Google Drive); new items land in Draft status with thumbnails generated; requires the import right S112. Mobile import in Peek S66.
  • Items without a file, replacement of the original file (single or in bulk), duplication of items, duplicate detection at import and duplicate search/cleanup in the folder tree S77 S111.
  • Bulk indexing from an Excel file prepared from a basket (4.81+; raw values only, no formulas) S53.
  • API upload up to 20 GB per file, chunked/resumable, 200 parallel uploads S22.
  • Formats: a published list of 154 extensions — images incl. camera RAW (cr2, nef, dng…), HEIC/WebP, PSD/AI/EPS/SVG, video (mp4, mov, mkv, m2ts…), audio, Office/OpenDocument, InDesign/IDML/QuarkXPress, fonts, archives, and 3D S45. 3D (glb/glTF, usdz, obj, fbx, stl, dae, ply, x3d, 3ds, Maya) since 4.101.0, with an in-browser 3D player for glb/glTF/usdz S50.
  • Versioning: versions of the original file can be viewed, restored or deleted; retouching creates a new version S73 S113.
  • Storage: quota per cloud instance, visible in statistics; increases via the account manager S61. Personal recycle bin plus admin trash restore S78 S111. Optional Azure-based storage tiers (high-availability vs archive/offline) for large files S91. Maximum browser upload size: Not public.

Metadata & taxonomy

  • Configurable metadata forms per media type with field types text, text area, HTML, date/datetime, number, e-mail, URL, checkbox, single/multiple lists, person list, thesaurus, geo, field sets S2; mandatory fields (can differ by language), default forms for new items, temporary forms, fields visible/editable per group S48 S111.
  • Multilingual metadata (edit one or all languages; "apply to all languages") S111 S15.
  • Thesauri: hierarchical, multilingual controlled vocabularies with synonyms; bulk term replacement and thesaurus export S111 S36.
  • Custom statuses (three families; publication rules), labels, geolocation, points of interest, editorial (rich) content in item descriptions S48 S71 S111.
  • XMP/IPTC/EXIF mapping configurable for both import (ordered fallback list per field) and export (written into custom download formats) S49.
  • Bulk edit ("batch processing": add, replace all, replace a term, clear, incremental numbering), copy/paste indexing between items S111; API bulk updates S23.

Search & discovery

  • Text search, predefined search forms, advanced multi-criteria search (saveable, shareable), search by a pasted reference list (e.g. SKUs, with "not found" list), geolocation search, search by identified person, folder search S70 S71 S111.
  • Facets configurable in the back office; autocomplete S16 S2.
  • Semantic AI search (optional, off by default): natural-language description matched against image content and 4–5 selected fields via a multimodal model on AWS Bedrock; not suited to codes, dates or statuses S46.
  • Saved searches / custom navigations (saved tree views) S111. Full-text indexing of document content can be disabled S111.

AI capabilities

CapabilityDetails
Auto-taggingOpenAI ChatGPT ("Chat4o module") generates keywords from a 607 px preview; off by default at import, admin control panel; runnable per item, in bulk and via API (AUTOTAG bulk) S47 S38
Semantic searchAWS Bedrock (eu-north-1), embeddings indexed in Keepeek's Elasticsearch; activation via CSM/support S46
Face detection & recognitionRuns automatically at import; manual face declaration, person identification, search by person; sold as an optional module S52 S81
AI quality controlDetects resolution, format, sharpness, orientation and blur issues; also offered as a headless API; optional module S87 S93 S81
Other AI claimsNatural-language search, automatic brand-approved renditions, AI-assisted translation (templates) S87 S81
GovernanceAdmin switches for auto-tagging; field-level hiding restricts who can run it; semantic search can exclude statuses/folders; vendor states no model training on customer images S46 S47
Generative image editingUnknown (not documented)

Organization

  • Folder tree ("classification plan") with ordering, cover images, duplication of tree structures, subscriptions to folders S111.
