Capabilities of Portfolio 4.x (4.0.1 is the last Extensis release; 4.1.1 is in beta under Portfolio DAM, LLC). Most help articles were written for 4.0.x and re-published by the new owner in July 2026 S45 S46. Help-center statements win over marketing pages where they differ.
Ingestion & storage
- Architecture: client-server. A Portfolio Server holds catalogs; optional Media Engine machines take conversion jobs; users work through the Web client (browser), the Desktop client (drag-and-drop, "client of choice for creative types") and administrators through Portfolio Administration (browser, port 8091) S21 S13.
- Two catalog storage types S26:
- Watch Folder catalogs index files in place on network storage; files added to a watched folder are cataloged automatically (sync on change, on demand, or at intervals; optional removal of missing assets) S38.
- Vault catalogs copy files into a Portfolio-managed store that users cannot browse directly; required for versioning, check-out and locking S26 S38 S28.
- Upload methods: Web/Desktop upload, cataloging files already on the server, watch folders, Portfolio Flow mobile app (iOS/Android) into a "Mobile Uploads" catalog, DropZone web drag-and-drop page, metadata import from text files, REST/SOAP API S38 S30 S10 S1. The Flow app was last updated in December 2017 S73.
- Ingest rules (per catalog): allowed file types, file/folder exclusion patterns, keywords generated from path and file name, managed upload (metadata users must enter at upload), preview size/location limits S31.
- Formats: images (JPEG, TIFF, PSD, AI, EPS, PNG, HEIF, DNG, camera raw, JPEG 2000, MrSID), video, audio, Office and PDF documents, geospatial; a per-format matrix states thumbnail/preview, convert, extract and embed support S34. Full-text indexing of document text S34. On Windows servers, camera-raw previews such as Canon CR3 need the Microsoft Visual C++ runtime (
MSVCP140.dll) used by LibRaw S45. - Versioning: automatic versions in Vault catalogs on check-in and on property edits (edits within a time window are grouped); reverting means downloading an old version and re-cataloging it S28.
- File size limits: Not public.
- Scale guidance: sizing table from <50,000 to <10 million assets (cores, RAM, disk speed); cloud VMs are advised only below ~1 million assets / 500 GB S19.
- Storage: customer-provided disks, NAS (SMB; AFP for legacy Macs) or "cloud buckets" S14 S47. Backups cover the database, NetPublish sites and reporting data, not assets or previews; the server stops during a backup S36.
Metadata & taxonomy
- Field types: Date/Time, Decimal (8 decimals), Number, Text (single line, up to 2,000 characters), Text Block (multi-line, word-indexed) and others; most can be multi-valued and/or use predefined value lists S32. Field definitions expose flags such as
multivalued,hierarchical,usePredefinedOnly,embeddable,searchableS1. - Controlled / hierarchical vocabularies: predefined values and nested (hierarchical) predefined values, editable through the API S1; a catalog-wide Master Keyword list managed by Catalog Administrators S15.
- Embedded metadata: extracts XMP, IPTC, EXIF, TIFF, GPS/Geo, Movie, Microsoft Office and Extensis Font Sense metadata; embeds XMP, IPTC and Movie metadata back into files (format-dependent); custom XMP namespaces can be added and mapped to custom fields S34 S33 S82. Star ratings sync with Photoshop/Lightroom S45.
- Catalog templates define starting field sets; custom fields per catalog S26 S45.
- Bulk edit: multi-asset property edits (pending-edits list), metadata import/export to text files, API
updateFieldValuesby query with add/remove/append/replace and optional embedding S1 S45.
Search & discovery
- QuickFind (simple search) and Advanced Find (multi-criteria with operators); saved criteria become Smart Galleries S45.
- Operators available through the API include equals/contains/starts/ends (and negations), ranges, null checks, relative dates (in past/future, today, this month/year), value counts, an unparsed query string and geometry intersection S1.
- Map view: GPS points or bounding boxes, clustering, search bounds S35.
- Full-text search in document contents S34.
- Visual similarity or natural-language search: not documented (Unknown).
AI capabilities
- Smart Keywords (since Portfolio 2016 v2.5.1): on-demand or at-ingest AI keywording with 1–20 keywords and a 1–100 confidence threshold, selectable "engines" (categories, including NSFW/SFW) and languages for the General engine S24 S67. Extensis-era versions called Clarifai's API for this S14; whether Smart Keywords still works in current builds is Unverified Unknown.
- Axle AI Tags (on-premise engine from the new owner: scene understanding, faces, logos, objects, OCR) is offered in the top ICScolor bundle; the home page lists AI keywording as "coming soon" S58 S47.
- Transcription, generative AI, AI governance settings: Not public / not documented.
Organization
- Catalogs (access is granted per catalog), folders (watch-folder trees, vault subfolders), galleries (static, public/private, optionally read-only; the API also has a
lockedAccesstype; private galleries can be shared with chosen users since 4.0), Smart Galleries (saved searches), Flagged assets S26 S45 S65 S1. - Brand portals: NetPublish sites (see Distribution).
Workflow & collaboration
- Check-out / check-in with comments and locking (Vault catalogs) S28 S1.
- Batch Process: convert, rename, and send results to download or back into the catalog (optionally replacing originals); Convert Presets and PDF contact sheets S39 S45.
- Automation: server-side JavaScript scripts triggered by events (cataloged, metadata updated, gallery changed), by schedule (cron) or from the client's Scripts menu S8 — described by the new owner as "no longer actively supported" S10. Extensis sold a Corbit-based "Portfolio workflow automation" from 2018 S68; the new owner bundles Axle AI's Connectr graphical workflow tool S58.
- Query to email daily digest; email notifications for backups and gallery changes S10 S40 S67.
- Review/approval, annotations, tasks: not part of Portfolio; colour-accurate soft proofing is provided by ICS Remote Director in the 2026 bundles S58.
Rights & governance
- Roles per catalog: Catalog Administrator, Publisher, Editor, Reader, plus toggleable permissions (access/process originals, add/delete assets, delete originals, embed metadata, import/export metadata, make PDF, manage presets, Smart Keyword, check out…) S15.
- Directory integration: Active Directory users/groups mapped to catalogs and roles, daily sync S16 S17.
- Watermarking on NetPublish downloads (requires a Media Engine licence) S25 S65.
- Audit: reports on uploads, downloads, previews and deletions S1 S29.
- Usage-rights fields, expiry/embargo automation, retention policies: not documented as built-in features (Unknown; custom fields possible).
Distribution & delivery
- NetPublish: publish a gallery as a website hosted on the Portfolio server (FastSite or customised via Site Builder), HTTP 8085 / HTTPS 8095; visitors can pick download formats; site usage reports S27 S29 S65. Licensed separately S29.
- Conversion on download: JPEG, TIFF, DNG and MrSID out of the box; more formats with a Media Engine licence; resize, colour mode (RGB/CMYK/Grayscale), resolution, compression S1 S25 S39.
- Sharing: email digests, ZIP downloads; public share links or a CDN are not part of the product (Unknown).
- Templating / web-to-print: N/A.
